Tamil Nadu registration preparation

Last reviewed: 3 October 2026

Prepare the complete registration file before the SRO appointment

Published by Kanyakumari Properties

Do not start with a generic photocopy list. Classify the instrument, fix the exact property and parties, complete independent title review, then confirm the current transaction-specific requirements with the competent Sub-Registrar Office.

Registration preparation and title due diligence are different.A document accepted for presentation is not, by that fact alone, proof of safe title, correct boundary, approval, access or possession.

Core document pack

Review twelve evidence groups before the appointment

This is a preparation framework, not a universal statutory checklist. Mark each group applicable, not applicable or unresolved for the exact transaction.

01 Instrument

Final deed and schedules

Use the correct instrument type with complete recitals, consideration, rights transferred, shares, covenants, execution blocks and every property schedule or annexure.

Match the deed to the real transaction
02 Title

Current title document

Identify the registered deed, allotment, assignment, partition, settlement, court order, succession or other source through which the transferor claims the property.

Verify the exact property and current holder
03 Chain

Parent and linking documents

Collect every document needed to explain the title path, subdivision, release, partition, legal-heir transition, name variation and movement of the stated extent.

Do not leave unexplained gaps
04 Registered records

EC and underlying instruments

Obtain current registered-document evidence for the correct jurisdiction, identifiers and review period. Read material deeds or certified copies instead of relying on the EC description alone.

An EC is evidence, not a title certificate
05 Revenue

Patta, Chitta, A-Register or TSLR

Use the record applicable to the location to compare recorded holder, survey and subdivision, extent and classification with the deed and proposed schedule.

Revenue entries do not replace title review
06 Survey

FMB, town survey and subdivision

Compare the applicable official sketch, subdivision history, dimensions, boundaries, ground occupation and access with a competent survey where necessary.

Paper identity must match the site
07 Approval

Layout, building and project records

For plots, houses and apartments, identify each planning, local-body, building or project record that applies and match the exact parcel, structure and unit.

Registration is not planning approval
08 Dues

Tax and utility account evidence

Match property-tax, vacant-land, water, drainage, electricity and association accounts, demands, receipts, meter evidence and the written liability cutoff.

A latest receipt may cover only one ledger
09 Consideration

Payment and finance records

Keep the agreed consideration, advance history, bank or lender conditions, release evidence, payment trail and the exact terms governing payment at registration.

Do not leave material payments undocumented
10 Parties

Identity, address and tax records

Prepare the current records requested for every executant, claimant, representative and witness. Reconcile spelling, initials, address, tax reference and capacity with the deed.

Confirm accepted records with the SRO
11 Authority

Capacity and consent evidence

Add succession, legal-heir, Will, court, entity resolution, partnership, trust, guardianship, lender, consent or Power of Attorney records that explain who can execute.

Authority must cover the exact act
12 Presentation

Forms, payments and appointment records

Confirm the current jurisdiction, process, originals, copies, photographs, witnesses, payment or challan references and any transaction-specific form with the SRO.

Recheck shortly before the appointment

Preparation workflow

Eight steps from deed type to completion file

Sequence matters. An accurate appointment pack is the output of property, title, identity and authority verification, not a substitute for it.

  1. Classify the instrument and every party

Confirm whether the proposed instrument is a sale, gift, settlement, release, partition, exchange, mortgage or another deed. List every transferor, transferee, claimant, representative and consenting party before preparing the file.

  2. Fix the exact property identity

Write the registration district and sub-district, revenue village or town, survey and subdivision, Patta or town-survey reference, extent, boundaries, road, door, plot, flat and undivided-share details that apply.

  3. Confirm jurisdiction and current presentation route

Use TNREGINET and the competent Sub-Registrar Office to confirm the correct jurisdiction, current appointment or presentation process, document category and transaction-specific checklist.

  4. Complete title and property due diligence

Have an independent property advocate examine the title chain, registered instruments, Encumbrance Certificate, revenue and survey records, access, classification, approvals, dues, possession and disputes before the deed is finalised.

  5. Freeze an accurate deed and schedule

Reconcile names, capacity, consideration, recitals, title source, property schedule, shares, measurements and boundaries with the verified source records. Resolve every difference before execution.

  6. Prepare identity and authority records

Match the names and capacity in the deed to the current identity, address, tax, entity, succession, guardianship, lender-release or Power of Attorney records that apply to each participant.

  7. Confirm current value, duty, fee and payment records

Check the current official guideline-value and registration services, obtain professional calculation for the exact instrument and retain the approved payment or challan references without publishing an assumed rate.

  8. Assemble the appointment and completion file

Confirm originals, copies, photographs, witnesses, payment references and any supporting forms with the SRO. After presentation, retain the receipt, pending or refusal communication if any, and the registered document or certified-copy route.

Participant records

Prepare for each role, not only buyer and seller

The same person may appear as owner, executant, claimant, representative, witness or consenting party. Record the legal capacity used in the deed.

Transferor or seller

Match identity and tax details to the title chain, possession and deed. Resolve name, marital, succession, entity and authority questions before execution.

Prove both identity and authority

Transferee or buyer

Match the name, initials, address, share and payment role in the deed to the records accepted in the current presentation process.

Check every co-buyer and share

Representative

Review the registered Power of Attorney or other authority, its scope, property schedule, continuing validity and the identity of principal and agent.

Do not infer power from a broad label

Entity or institution

Prepare constitution, registration and current authorisation records appropriate to the company, firm, trust, society, bank or other legal person.

Identify the authorised signatory

Witness or consenting party

Confirm who must attend, their identity records and why any spouse, co-owner, lender, guardian or other person signs or consents.

Confirm attendance before booking

Transaction variation

Add records for the actual property and authority

A short normal-sale checklist becomes unsafe when the property is inherited, mortgaged, represented, built, subdivided or part of an apartment project.

Land or plotted site

Add the survey and subdivision chain, applicable revenue classification, FMB or town-survey evidence, road or pathway basis and layout or regularisation record where relevant.

Match the plot to the parent parcel

House or building

Add the land title, sanctioned plan and permission records that apply, property-tax identity, utilities, physical extent, occupation and any deviation requiring advice.

Separate land title from building compliance

Apartment or project unit

Add the land and project title, approved plan, unit and undivided-share schedule, promoter or prior-owner authority, association records and applicable completion or occupancy evidence.

Match unit, share and common rights

Inherited property

Add death and succession evidence, Will or court material where applicable, legal-heir records and every release, partition or consent needed to establish present authority.

Confirm all necessary successors

Power of Attorney transaction

Add the registered instrument and linked property schedule, scope, authentication, principal and agent identity, continuing validity and revocation or death checks.

Read the exact power granted

Mortgaged or released property

Add lender statements, original-document custody, discharge or release evidence, registered satisfaction where applicable and written instructions for closing finance at registration.

Coordinate release before paying

Evidence limits

Do not make one document prove another issue

Each record answers a narrower question. Safe preparation comes from reconciliation across the entire file and the physical property.

Registered deed

Records the instrument and its stated parties, recitals and schedule.

Does not alone prove every recital or defect-free title

Encumbrance Certificate

Reports registered-document entries found for the identifiers and period searched.

Does not cover every possible unregistered claim or search error

Patta or revenue extract

Shows selected revenue-record fields for the identified land or holder.

Is not a complete title or boundary adjudication

FMB or survey sketch

Provides survey geometry or field references for the parcel represented.

Does not by itself settle occupation or a live boundary dispute

Approval document

Shows the issuing authority decision for the plan, layout, project or building described.

Must match the exact property and work on site

SRO acceptance

Shows that an instrument passed through the presentation and registration process.

Does not replace independent title, survey or approval review

Appointment control

Carry six clearly indexed sets

Use the current SRO instruction for originals, copies and electronic steps. The pack below is an organisational method, not an official count of required sets.

Final execution set

Final deed, all schedules and annexures, correct page order, agreed corrections and the execution plan for every necessary party.

Original and source set

Original title or authority records requested for comparison, plus complete readable copies and the review index used by the parties.

Party and witness set

Current accepted identity, address, tax, photograph and capacity records for each person who must participate or witness.

Authority and consent set

Succession, entity, Power of Attorney, guardian, lender, consent and other records that explain why each non-routine person may act.

Payment and reference set

Current value or calculation working, duty and fee references, challans or approved payment records, consideration trail and appointment details.

Completion and exception set

Presentation receipt, token or reference, pending demand, deficit or refusal communication, correction note and delivery or certified-copy follow-up.

Confirm the pack before anyone travels

Ask the competent SRO or your authorised professional to recheck the current process for the exact instrument, parties and property.

Open TNREGINET

Warning signs

Pause when the file and transaction differ

Do not use the appointment date to pressure unresolved title, schedule, identity or authority questions into the final deed.

Instrument

The deed type does not match the deal

The stated transfer, consideration, possession or retained rights differ from what the parties actually agreed.

Property

Survey fields or extent keep changing

The title, revenue, EC, survey, approval and draft schedule do not identify one consistent property.

Chain

A parent or linking deed is missing

The seller cannot explain how the exact property and share moved through a gap in the title chain.

Identity

Names or capacity do not reconcile

Initials, spelling, address, entity role, legal-heir position or representative capacity conflict across the file.

Authority

The agent relies on a broad POA summary

The actual registered instrument, property description, sale power and continuing validity have not been reviewed.

Approval

Registration is described as approval

No competent planning, local-body or project record has been matched to the plot, building or unit.

Payment

Cash or advance history is incomplete

The deed, receipts, bank trail and written settlement terms do not reconcile with the real consideration and release conditions.

Pressure

Missing records are promised after registration

A material original, release, consent, correction, boundary answer or approval is deferred without adequate protection.

Official sources

Check current records and presentation services

Use live government systems and the competent office. Portal availability and the exact transaction checklist can change, so recheck close to the appointment.

Kanyakumari Properties is not the Registration Department, a Sub-Registrar Office, a legal adviser or a title-certifying authority. This page is a preparation framework and does not state that every listed document is mandatory for every deed. Confirm the exact current requirement with the competent SRO and obtain independent property-specific advice.

Common questions

Registration document FAQs

Direct answers about the core file, Patta, EC, title proof, identities, inherited property, Power of Attorney, professional roles and post-registration records.

What documents are required for property registration in Tamil Nadu?

There is no safe universal list for every instrument. A normal preparation file may include the deed, title and parent documents, current registered-document evidence, applicable revenue and survey records, approvals, tax or utility evidence, party identity and tax records, payment references, witnesses and transaction-specific authority documents. Confirm the exact current list with the competent Sub-Registrar Office.

Are Patta and Encumbrance Certificate compulsory for every registration?

The records needed depend on the instrument, property and current Registration Department process. Patta, Chitta, TSLR, FMB and an Encumbrance Certificate are important due-diligence evidence where applicable, but their legal role and whether they are requested for presentation are not identical.

Does registration prove that the seller has a safe title?

No. Registration records the instrument presented through the statutory process. A buyer still needs an independent examination of title, seller authority, encumbrances, revenue and survey identity, classification, access, approvals, occupation and the physical property.

Which identity documents should the buyer and seller carry?

Identity, address, tax, photograph and other participant records can depend on the deed and the current SRO process. Names, initials and capacity should match the deed. Confirm accepted originals, copies and any electronic authentication requirements with the SRO before the appointment.

What extra records are needed for inherited property?

Prepare the source title, death and succession evidence, legal-heir or other competent records, Wills or court orders where applicable, and every release, partition or consent needed to explain current authority. Independent legal review is especially important.

What extra records are needed for a Power of Attorney sale?

Review the registered authority, property description, powers granted, execution and authentication details, current validity, revocation or death risk and the identity of the principal and agent. Do not assume a general wording authorises the exact sale.

Should I rely on a document writer for title verification?

A document writer can assist with preparation and presentation, but the buyer should use an independent property advocate for title and transaction advice. Survey, planning, valuation, tax and technical issues may also require the competent professional or authority.

What should I keep after the registration appointment?

Retain the final executed deed copy, payment and presentation receipts, reference or token details, any pending or refusal communication, supporting records, handover evidence and the downloaded or collected registered document when available. Then complete the applicable revenue, tax and utility transfers.
