Build one verified property file before paying an advance

Published by Kanyakumari Properties

Do not collect disconnected photocopies. Start with the exact property identity, then make the title, registration, revenue, survey, approval and physical evidence describe the same parcel or unit.

No single property document proves everything.A deed, EC, Patta, FMB, approval, tax receipt or possession answers only part of the decision. The complete evidence must match the exact property and seller.

Document control

Review twelve evidence layers

The exact documents depend on the transaction. Use these layers to identify what exists, what applies and what remains unresolved.

01 Seller

Identity and authority

Match the seller, co-owners, representatives, entity or legal heirs to the title and transaction authority.

Identify every required signer
02 Title

Current and parent deeds

Trace the necessary sale, partition, settlement, release, gift, inheritance, court or other instruments to the seller.

Read schedules and annexures
03 Registration

EC and underlying instruments

Search the correct property, jurisdiction and period, then obtain and read material documents appearing in the result.

A nil result is not a title certificate
04 Revenue

Patta, Chitta and A-Register

Compare current holder entries, survey and subdivision, extent, classification and record history where available.

Revenue entries are not complete title proof
05 Survey

FMB or TSLR material

Use the applicable official sketch and extract to compare parcel shape, subdivisions, extent and adjoining survey references.

Correlate the record on site
06 Classification

Land status and public features

Check classification, government or private status, channels, drains, water features and acquisition or reservation concerns.

Verify the exact subdivision
07 Access

Road and pathway rights

Review deed language, registered easements, layout records, public-road status, width and continuous usable access.

A visible path is not enough
08 Layout

Planning and plot approval

Match the issuing authority, approval number, sanctioned layout, survey fields, plot number, roads and reserved spaces.

Approval must match this plot
09 Building

Permit, plan and completion

For built property, compare the sanctioned plan, building permission and completion or occupancy records where applicable with the structure.

Record deviations and later work
10 Project

TNRERA record where applicable

For a regulated project transaction, verify the project, promoter, agent, phase, plans, disclosures and current status on the official portal.

RERA does not replace title review
11 Dues

Tax, utility and association records

Review current property-tax, utility, maintenance and association evidence while separating payment records from ownership proof.

Identify arrears and transfer steps
12 Transaction

Advance, agreement and sale draft

Make the price, property schedule, conditions, document delivery, possession, default, refund and registration terms fit the verified facts.

Do not use a generic schedule

Review order

Eight connected checks before payment

Collecting documents is not the same as verifying them. Match identifiers, read the full instruments and resolve conflicts in writing.

  1. Fix the exact property identity

Write the district, taluk, revenue village or town, registration jurisdiction, survey number and every subdivision. Add the door, plot, flat, project and undivided-share fields that apply.

  2. Collect complete, readable records

Request the full document, all pages, schedules, annexures, plans, endorsements and registration details. Compare originals, certified copies or current official results instead of cropped photographs.

  3. Build the title and authority chain

Trace how the seller obtained the exact property through every necessary deed, partition, settlement, release, inheritance, court order or Power of Attorney. Check identities and current authority.

  4. Search registered-document evidence

Use the correct Sub-Registrar jurisdiction, property identifiers and review period for the Encumbrance Certificate and underlying registered instruments. Reconcile every material entry with the title chain.

  5. Match revenue, survey and classification

Compare Patta or Chitta, A-Register or TSLR, FMB or survey sketch, subdivision history, recorded extent and classification with the deed and ground parcel.

  6. Verify approvals and the physical property

Match the exact layout, plot, building or project to the issuing authority record and sanctioned plan where applicable. Inspect access, occupation, construction, utilities and deviations on site.

  7. List and resolve every difference

Maintain a written discrepancy sheet for names, survey fields, extents, boundaries, shares, approvals, access, dues and possession. Obtain competent office and professional clarification before payment.

  8. Complete independent review and transaction papers

Have the exact document set reviewed by an independent property advocate and appropriate survey or technical professionals. Make advance, agreement and sale documents reflect the resolved parcel and conditions.

Evidence limits

Know the question each record can answer

A strong file records both the useful evidence and the conclusion that the document cannot support on its own.

Registered deed

Shows the registered transaction, parties and property schedule stated in that instrument.

Does not alone validate the whole title chain or ground parcel

Encumbrance Certificate

Reports registered-document results for the identifiers, jurisdiction and period searched.

Does not alone prove clear title or every claim

Patta or revenue record

Supports comparison of revenue identity, recorded holder, survey fields, extent and classification.

Does not alone prove complete ownership

FMB or TSLR sketch

Supports comparison of the official survey parcel, subdivisions and adjoining references.

Does not mark the legal boundary on the ground by itself

Planning or building approval

Can evidence what the issuing authority approved for the identified layout, plot or construction.

Does not prove seller title or exact physical compliance

Tax or utility receipt

Can show a payment or service account for a stated name, property reference and period.

Does not alone establish ownership, approval or freedom from dues

Property-specific pack

Add records for the property being bought

The core title and identity checks remain. Add the following evidence questions without assuming every record exists or applies.

Agricultural or vacant land

  • classification and permitted use
  • survey sketch, subdivision and boundary
  • legal road or pathway access
  • channels, drains and public-land questions
  • physical possession and cultivation claims
Match land records to the ground

Approved plot

  • sanctioned layout and approval number
  • exact plot, survey subdivision and extent
  • road width, reserved areas and access
  • layout conditions and local-body records
  • ground dimensions against approved plan
Verify this plot, not just the layout name

Independent house

  • land title and seller authority
  • building plan and permission as applicable
  • completion or occupancy evidence where applicable
  • deviations, additions and physical condition
  • tax, utilities, tenancy and possession
Review both land and construction

Apartment

  • project and underlying land evidence
  • unit schedule, floor, area and undivided share
  • sanctioned plan and project records
  • completion, occupancy and handover as applicable
  • association, maintenance, parking and dues
Match the unit and its common rights

Working file

Keep one dated evidence register

A checklist should show what was requested, received, verified, contradicted and still pending. “Document available” is not the same as “document matched.”

Record these fields for every item

  • document name, number, date and issuing or registering source
  • property identifiers, parties and authority appearing in it
  • whether the copy is original, certified, downloaded or seller-provided
  • official verification date, route and retained result
  • matching evidence and every discrepancy found
  • reviewer, advice received and the action required
  • status such as requested, received, verified, contradicted or unresolved

Preserve the version used for the decision. Online records, status and project information can change.

Use the private browser checklist

Track review progress locally without treating completion as a legal-clearance score.

Warning signs

Pause when records do not describe one property

Names, survey fields, extents, boundaries, shares, access and approvals must converge before the agreement uses them.

Identity

Subdivision is missing

The deed, EC, Patta, FMB, approval or site claim uses only a parent survey number or conflicting subdivisions.

Title

A parent link is unavailable

The seller cannot provide or explain an instrument required to connect the current claim to the earlier owner.

Registration

EC and deed chain differ

A material registered transaction is absent, misidentified or inconsistent with the search result or property schedule.

Extent

Area changes across records

Cent, square-foot, metric, UDS or boundary figures do not reconcile through a documented conversion and survey.

Access

The road exists only on site

No deed, easement, layout or public record supports the claimed legal and continuous approach.

Approval

A logo replaces the full plan

An approval number, authority, conditions, survey fields, plot or building cannot be matched to the complete official record.

Authority

Someone else signs for the seller

A relative, broker, company representative or attorney acts without complete current authority for this property and transaction.

Pressure

Verification follows the advance

Money is requested before originals, official results, survey access or independent review can be completed.

Official sources

Verify each record through the proper route

Use the exact jurisdiction and property identity. Save the complete result and escalate differences to the competent office.

Kanyakumari Properties is not a registration, revenue, survey, planning or legal authority. This guide does not certify title, documents, boundary, approval or transaction safety. Use an independent property advocate and the appropriate survey, technical and government professionals for the exact property.

Verify before the advance

Make the written advance terms reflect missing documents, review conditions, refund protection and the exact verified property schedule.

Common questions

Property document FAQs

Direct answers about title, EC, Patta, parent deeds, FMB, property-type records, copies and advance timing.

Which property documents should I check before buying land in Tamil Nadu?

Start with the seller’s authority and title chain, EC and underlying registered instruments, current revenue and survey records, classification, boundary and legal access. Add layout or development approvals, tax and due records, physical survey and transaction-specific documents where applicable.

Is Patta enough to prove ownership of property?

No. Patta and related revenue records help identify revenue entries, survey details, extent and classification. They must be compared with the registered title chain, EC evidence, survey material, seller authority and the physical property.

Does a clean or nil EC prove clear title?

No. An EC reports registered-document results for the property identifiers, jurisdiction and period searched. It does not by itself establish an unbroken title chain, ground boundary, possession, access, approval status or every possible claim.

What is the difference between a title deed and a parent deed?

The current deed records the transaction through which the present holder claims. Parent documents are earlier instruments needed to understand how title reached that holder. The necessary chain depends on the property and facts, so obtain independent legal review.

Should I check FMB before buying a plot?

Use the applicable official FMB or TSLR material to compare the survey parcel, subdivisions and adjoining references. A sketch alone does not mark the legal line on site, so correlate it through a properly documented ground survey.

What documents are different for a house or apartment?

A house adds building-plan, permit, completion or occupancy, deviation, tax, utility and physical-condition questions as applicable. An apartment also needs project, undivided-share, sanctioned-plan, unit, common-area, association and due records applicable to that building.

Can I rely on photocopies sent by the seller or broker?

Use copies for initial organisation only. Verify complete originals, certified copies or current official results as appropriate, confirm the issuing source and compare every identifier across the document set.

When should I pay a property advance?

Only after the exact property and seller authority are identified, key records and physical facts are reviewed, material differences are resolved or protected by written conditions, and an independent professional has advised on the transaction documents.
